Condor Concierge (“we,” “us” and “our”) respects your privacy. This policy explains how we collect, use, disclose and protect personal information through our website and related inquiries, proposal requests and recruitment communications. Personal information means information about an identifiable individual.

1. Scope of this policy

This policy applies to condorconcierge.ca and information you provide when communicating with us about our concierge services or employment opportunities.

Our website also links to Condor Security and other websites. Their privacy notices apply when you use those websites. If an inquiry or application is handled by another Condor entity, we will identify the entity responsible and explain any relevant sharing when collecting your information.

Information handled in providing concierge or security services at a condominium or other client property may also be governed by the property’s privacy notices, our service agreement and applicable law. See Section 6 for more information.

2. Information we collect

Inquiries and proposal requests

Our proposal form requests your first name, last name, phone number, email address and message. When you contact us, we also receive the information you choose to provide, which may include your organization, property, role, service requirements and correspondence with us.

Please provide only information relevant to your request. Do not send payment card details, government identification numbers, resident access codes or sensitive information about yourself or others through a general website form.

Employment applications

If you apply for a position, we may collect your contact details, resume, work and education history, qualifications, availability and other information relevant to assessing your application. Later recruitment stages may involve interviews, references, licence or document verification and appropriate background checks. We will explain additional collection and obtain consent where required before conducting these checks.

Please obtain permission before giving us another person’s private contact details, such as those of a reference. Separate employee notices may apply if you are hired.

Website and technical information

When you visit our website, our systems and service providers may process your IP address, browser and device information, pages requested, referring website, dates and times of visits, and technical or security logs. Cookies and similar technologies may also collect identifiers and information about website interactions, depending on the features and services enabled.

3. How we use information

We use personal information for purposes relevant to your interaction with us, including:

  • Reviewing applications, contacting candidates and administering recruitment.

We will explain a materially different purpose and obtain additional consent where required before using information for that purpose.

4. Cookies, analytics and embedded content

Analytics can help us understand how visitors find and use the website. The information processed may include page views, device information, IP addresses and online identifiers.

The website displays social content and may include maps, reviews or other embedded features from third parties. Loading or interacting with these features may send technical information to their providers, which may use their own cookies and process information under their privacy policies. A link to a social platform or another website is also subject to that provider’s practices when you follow it.

You can manage or delete cookies through your browser settings. Blocking cookies may affect some website functions. Where a website privacy or cookie control is offered, you can use it to manage the choices available there. Browser controls may not prevent every type of technical collection or information sharing by embedded content.

Where consent is required for optional tracking, we will obtain it before that tracking occurs. This policy itself does not constitute consent to optional tracking.

5. When we disclose information

We disclose personal information only as appropriate for the purposes described in this policy, with consent where required, or as otherwise permitted or required by law. Recipients may include:

  • Authorized staff and personnel responsible for inquiries, proposals, services or recruitment.
  • Providers supporting website hosting, email, form processing, technical maintenance, security, analytics or recruitment administration.
  • Related Condor entities where needed to respond to your request or administer a recruitment process, with notice and consent where required.
  • Professional advisers, authorities or other recipients where necessary to meet legal obligations, respond to lawful requests, protect rights or address suspected unlawful activity.

If a business transaction affects personal information, any transfer will be subject to applicable legal requirements and appropriate protections.

We require service providers handling information on our behalf to protect it and limit their use to authorized purposes. Third-party platforms may also process information independently under their own privacy notices.

6. Information at client properties

Depending on the services arranged by a property, concierge work may involve resident or visitor contact details, parcel records, reservations, access records or incident information. Where we handle such records on a client’s behalf, we follow authorized instructions, contractual requirements and applicable law.

This website policy does not authorize surveillance or unrestricted collection of resident information. Property-specific notices should explain the actual systems, purposes, responsible organizations and access arrangements, including any video surveillance. Contact your property manager for questions about property-controlled records, or contact us if you are unsure who handles your request.

7. Consent and your choices

We seek consent appropriate to the nature and sensitivity of the information and the circumstances, unless the law permits or requires processing without consent. Information submitted in an inquiry or application is used to handle that request; it does not automatically authorize unrelated marketing.

You may withdraw consent to future processing, subject to legal or contractual restrictions and reasonable notice. We will explain any consequences, such as being unable to respond to an inquiry or continue an application without necessary information.

8. Storage, retention and security

We retain personal information only as long as reasonably needed for its identified purposes and applicable legal, contractual or recordkeeping requirements. Retention depends on the type of record, the status of the relationship or application, and any outstanding dispute or obligation. When information is no longer needed, we take steps to securely delete, destroy or anonymize it, subject to applicable requirements and backup processes.

We use administrative, technical and physical safeguards appropriate to the sensitivity of the information and restrict access to people who need it for authorized purposes. No website, email system or storage method can guarantee absolute security. If a privacy breach occurs, we will assess it and take any notification or reporting steps required by law.

Our providers may store or process information in Canada or other countries. Information processed abroad may be accessible to authorities under the laws of those countries. We remain accountable for information transferred to providers acting on our behalf and use appropriate contractual or other safeguards.

9. Access, correction and complaints

You may contact us to request access to personal information we hold about you, ask for a correction, withdraw consent or raise a privacy concern. We may need to verify your identity using information proportionate to the request. Please do not send identification documents unless we request them through an appropriate channel.

We will respond within the time required by applicable law. Access may be limited by lawful exceptions, including protection of another person’s information or legally privileged material. Where appropriate, we will explain a refusal and available complaint options. Deletion requests are subject to applicable rights and retention obligations.

10. Children

Our website is intended for people seeking concierge services, business information or employment opportunities. It is not directed to young children. If you believe a child has provided personal information without appropriate authorization, please contact us so we can review and address it.

11. Changes to this policy

We may update this policy as our services, practices or legal requirements change. Where a change requires additional notice or consent, we will provide it as required by law.
